Scope and our role

This Privacy Policy explains how Adaya handles personal information through our websites, recruiting platform, candidate application experiences, and related support services. It applies to employer customers, their authorized users, job candidates, and website visitors.

When an employer uses Adaya to recruit candidates, that employer determines the purpose of the hiring process and generally controls the candidate information submitted for its roles. Adaya processes that information to provide the service. Candidates should also review the privacy notices of the employer to which they apply.

Information we collect

  • Account information

    Names, work email addresses, company details, roles, workspace membership, and authentication-related information for customer users.

  • Candidate information

    Contact details, job interests, application answers, availability, location preferences, work history, credentials, screening consent, source information, and optional resumes or other authorized documents.

  • Recruiting activity

    Application status, recruiter notes, interview readiness, questions, evaluations, workflow history, and records of actions taken by users or configured automation.

  • Communications

    Messages and information you provide when contacting support, requesting a demo, or interacting with configured email, SMS, voice, or scheduling workflows.

  • Technical information

    Standard request and log data such as IP address, browser or device information, timestamps, pages or endpoints requested, and diagnostic information used to operate and secure the service.

  • Website analytics

    On our marketing website, Google Analytics may collect page views, scroll activity, outbound link clicks, approximate location, browser or device information, and identifiers stored in first-party cookies. We use this information to understand site use and improve the website. We do not intentionally send candidate application answers or recruiting records to Google Analytics.

How we use information

We use information to deliver and improve the recruiting service, authenticate users, maintain customer workspaces, receive applications, organize candidate records, support recruiter workflows, communicate with users, troubleshoot issues, protect the service, and comply with legal obligations.

  • Provide the service

    Create accounts, publish roles, receive candidate submissions, store authorized documents, support screening workflows, and coordinate recruiting activity.

  • Support decisions

    Structure job-relevant information, surface missing information, generate summaries, and help authorized recruiters prepare next steps.

  • Protect and improve

    Validate requests, monitor reliability, analyze marketing-site usage, investigate suspected misuse, maintain audit history, and improve product functionality and usability.

  • Communicate

    Respond to questions, provide service notices, and support communications that a customer configures for its recruiting process.

AI-assisted recruiting

Adaya may use AI service providers to process job requirements, application answers, and resumes in order to produce structured summaries, fit signals, follow-up questions, and recruiter decision support. Those outputs can be incomplete or inaccurate and are not final employment decisions.

Adaya is designed so that hiring decisions require human review. Employer customers are responsible for evaluating outputs, providing legally required notices and accommodations, and ensuring that their recruiting practices comply with employment and anti-discrimination laws.

How we share information

We share personal information only as needed to operate the service, follow customer instructions, protect users, or meet legal requirements. Adaya does not currently sell personal information or use candidate information for cross-context behavioral advertising.

  • Employer customers

    Candidate information is made available to the employer and its authorized recruiting team for the role or workspace connected to the application.

  • Service providers

    We use providers for hosting, databases, authentication, file storage, communications, analytics, support, and AI processing. They receive information only for the services they provide to us.

  • Legal and safety

    We may disclose information when reasonably necessary to comply with law, respond to lawful process, enforce agreements, or protect the rights and safety of Adaya, our customers, candidates, or others.

  • Business transactions

    Information may be transferred as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.

Retention

We retain information for as long as reasonably necessary to provide the service, follow customer instructions, maintain legitimate business and security records, resolve disputes, and meet legal obligations. Retention can vary by customer configuration, record type, hiring process, and applicable law.

When information is deleted, limited copies may remain temporarily in backups or security records until those systems cycle through their normal retention periods.

Security

We use administrative and technical safeguards designed for the sensitivity of recruiting information, including authenticated access, company-scoped authorization, server-side credential handling, private document storage, request validation, and audit records. No system can guarantee absolute security.

Your choices and rights

Depending on where you live, you may have rights to request access, correction, deletion, or a copy of personal information, or to object to or restrict certain processing. These rights can be subject to legal exceptions.

Candidates should first contact the employer to which they applied because that employer controls the hiring process. You may also contact hello@tryadaya.com, and we will route or assist with the request as appropriate. We may need to verify your identity before completing a request.

Children and international use

The service is designed for business recruiting and is not directed to children under 16. If you believe a child submitted personal information improperly, contact us so we can review the situation with the relevant employer.

Adaya and its service providers may process information in the United States and other countries. Where required, we use appropriate contractual or legal mechanisms for international transfers.

Updates and contact

We may update this Policy as our service and legal obligations evolve. We will post the updated version here and change the effective date. If a change materially affects how we handle personal information, we will provide additional notice when required.
